Position Summary
The Office Manager will perform responsibilities necessary to day-to-day administration of the Mexico City office. She/he will support office staff with general data management and entry, maintenance of the contacts database and office calendar, finance procedures and other tasks in support of the day-to-day management of the office. This position is based in Mexico City, Mexico and reports to the Project Director.
Minimum Qualifications
- Bachelor’s degree in related field preferred
- Minimum six months related experience or combination of education, training and experience
- Strong ability to communicate effectively in English and Spanish, both verbally and in writing
- Mastery of MS Office Suite, specifically Word, Excel, PowerPoint, and Access
- Strong ability to plan, organize, prioritize work, and multi task to meet tight deadlines
- Ability to apply superb attention to detail and consistently produce timely and error-free work
- Ability to accept and complete administrative tasks with a positive and proactive attitude
- Ability to learn database and other specialized software and observe security procedures
- Ability to maintain the highest degree of confidentiality regarding all aspects of work at all times
Some Duties and Responsibilities
- Conduct overall office management, including serving as administrative liaison and ensuring daily maintenance of office facilities
- Responsible for daily communications including maintenance of calendars and appointments for the Project Director and other Mexico City staff
- Answer phone calls and direct inquiries to appropriate staff
- Schedule and/or coordinate logistics for appointments, meetings and events
- Record and circulate comprehensive notes for internal and external meetings
- Promptly register and distribute general mail deliveries for the Mexico office, including invoices, requests for information, etc.
- Maintain the project and contacts database and hard and soft copy files for the office, including remote server organization
- Monitor office equipment and supplies and ensure efficient management and maintenance of office inventory
- Coordinate with and between local IT provider and Freedom House DC IT services
- Assist with the preparation of financial and other reports
- Draft memos, official letters and other documents as necessary
- Other related duties as assigned.
